1, The purpose of this document
The purpose of this document is to reflect the obligation established in Article 13 (or, where applicable, Article 14) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter referred to as “GDPR”), and to provide individuals whose personal data we process in connection with our foundation’s activities with information about the personal data we process, particularly how we collect it, the purposes for which we use it, and, finally, what rights you have and how you can exercise them.

3. CATEGORIES OF PROCESSED PERSONAL DATA
Our foundation supports both individuals and legal entities by providing them with foundation contributions in the form of financial or material assistance. In carrying out these activities, we process personal data to provide our foundation contributions, comply with our legal obligations, and protect our legitimate interests. We collect data about applicants for contributions or donations, individuals who have received donations from us, representatives of the aforementioned individuals, volunteers involved in projects we organize, our partners (and their representatives), and our contributors and their representatives. Specifically, we process the following categories of your personal data:
a. Basic identification data – such as name, surname, and date of birth.
b. Address details – such as permanent or temporary residence address, location where material assistance is provided.
c. Contact information – such as email address, phone number, and contact address.
d. Sensitive personal data – such as health information, household income details, etc.
e. Photographs
f. Information about the subject of performance – such as the type and amount of contribution, purchased collection item, donation amount to the collection, scope, and nature of volunteer activities.
g. Payment details – such as bank account number and bank details.
h. Records of communication – such as information from written, email, and other communications with you.
4. LEGAL BASES FOR DATA PROCESSING
We collect and process your data under the legal basis of fulfilling a contractual relationship, which includes the data necessary to establish and fulfill a contract (particularly a donation agreement). In cases where a foundation contribution is requested, we process personal data that enable us to contact the applicant and, where applicable, the potential recipient of the donation. This typically includes the applicant’s name, surname, phone number, email address, information about their health, family, and social status, as well as the name and surname of the recipient and their representative, if applicable. This data is used to contact the applicant, identify the recipient, and assess whether to provide a contribution and in what amount.
For fulfilling the contract, we process personal data necessary for providing the contribution including the timing and method of payment, bank account details, etc. During the contract term, and sometimes for a period after its termination, we process personal data based on legitimate interests, including information on the purpose fulfillment of the contribution, documentation (including photographic evidence), contact details, data for internal records, planning, and analysis, and data necessary to fulfill the foundation’s legal obligations.
We are also required to process certain data to comply with legal obligations imposed by applicable legislation, such as Act No. 563/1991 Coll. on Accounting, Act No. 235/2004 Coll. on Value Added Tax, Act No. 586/1992 Coll. on Income Taxes, and Act No. 499/2004 Coll. on Archiving and Records Management.
5. SOURCES OF PERSONAL DATA
We process personal data you provide to us in connection with your application for a contribution, the conclusion of a donation agreement, and throughout its fulfillment. Additionally, we collect data for the purpose of fulfilling contracts and protecting our rights from publicly accessible registers and records (e.g., the Insolvency Register, Commercial Register, ARES, Trade Register, and Real Estate Cadastre).
We may also obtain personal data from third parties, such as individuals involved in fulfilling contractual obligations (e.g., contact persons, representatives of applicants or contribution recipients), or persons affected by the provision of services (e.g., injured parties, public authorities). Furthermore, we may acquire personal data from law enforcement authorities, courts, insolvency administrators, and executors for the purposes of administrative and judicial proceedings.
During events organized or co-organized by us, or during educational courses, photographs may be taken to document our activities and for use in our media communications.

6. PURPOSES OF DATA PROCESSING
We collect and process your personal data for the following purposes:
a) Negotiating the provision of foundation contributions,
b) Sale of collection items,
c) Establishing contractual relationships, fulfilling contracts, amending contracts, and terminating contracts,
d) Organizing or co-organizing public collections and events, educating and supporting children and youth,
e) Organizing volunteer activities,
f) Promoting the foundation,
g) Fulfilling our legal rights and obligations.
Personal data must be collected only for specific, explicitly stated, and demonstrable purposes and must not be further processed in a manner incompatible with these purposes.
7. DATA RETENTION PERIOD
We retain your personal data for the duration of the contract to verify that the contract’s purpose has been fulfilled. After the termination of the contractual relationship and the settlement of all obligations arising from or related to the contract, we store your personal data for the necessary period required by applicable legal regulations or for protecting our legitimate interests.
The retention period for personal data is determined primarily by the limitation periods under Act No. 89/2012 Coll., the Civil Code. We apply the principle of minimization, which means that once the permissible retention period has expired, the data is deleted, anonymized, or pseudonymized in our databases.
8. DISCLOSURE OF PERSONAL DATA
The personal data we collect may be shared with the following categories of third parties:
a) Legal obligations: Courts, public registers, law enforcement authorities, tax authorities, executors, and supervisory bodies within the scope of their legal authority (e.g., City of Prague, labor inspection authorities), and other state authorities.
b) Data processors: Third parties with whom we have signed a data processing agreement that guarantees sufficient technical and organizational safeguards for protecting the data provided.
c) Other parties: Individuals such as attorneys, when necessary to protect our rights and lawful interests, and only to the extent necessary to assert our claims.
d) Public promotion of the foundation: Limited data (e.g., first name, the first letter of the last name, and health information) may be shared on social media and websites but only with prior consent.
9. RIGHTS OF DATA SUBJECTS
Under applicable laws, you have the following rights regarding your personal data:
- Access: Request access to your personal data processed by us.
- Correction: Request correction of inaccurate or incomplete personal data.
- Deletion: Request the deletion of personal data we no longer need to fulfill contracts, legal obligations, or protect our rights.
- Transfer: Request the transfer of your data to another data controller.
- Objection: Object to data processing.
- Restriction: Request the restriction of processing (e.g., during a dispute over accuracy or legality).
You may also withdraw consent for processing specific data categories if such consent was provided.
Both donors and recipients of foundation contributions have the right to remain anonymous, per Section 358 of Act No. 89/2012 Coll., regarding anonymity in the foundation’s annual report.

10. FINAL PROVISIONS
We will periodically update these data processing details. Any changes will take effect immediately upon publication.
We do not perform any automated decision-making or profiling that could have legal effects or otherwise significantly affect you.
